How Nadwise handles your information.
This notice explains what we collect, why we use it, where it is processed and how long we keep it. Your signed engagement letter remains the record of your agreed service.
Who is responsible and what we collect
Nadwise Bookkeeping (Pty) Ltd, registration number 2026/548072/07, is responsible for information collected through this website and client portal. This may include contact and business details, Health Check answers submitted with consent, account and security information, service communications, bookkeeping records, uploaded documents, completed reports and an operational audit history.
Why we use information
We use information to respond to enquiries, assess a requested service, create and protect client accounts, collect records, perform the agreed bookkeeping work, communicate progress, deliver reports, maintain security and meet contractual or legal record-keeping duties. Depending on the interaction, this processing supports steps requested before an engagement, delivery of the engagement, legitimate business and security needs, legal duties, or the consent given with a Health Check or enquiry.
Service providers and international handling
We use Supabase for portal authentication, database and private file storage; Cloudflare for website hosting, security and delivery; Google services for business email; and WhatsApp, operated by Meta, when a visitor chooses that contact channel. These providers may process information outside your country. We select established providers and use their contractual and security controls when information crosses borders. We do not sell client or prospect information.
Retention and deletion
Enquiries and consented Health Check submissions that do not become clients are normally kept for up to 12 months. Client account information, service records, supporting documents and delivered reports are normally kept for five years after the engagement ends, or longer where a contract or applicable record-keeping duty requires it. Security and audit records are normally kept for up to 24 months. When a period ends, information is deleted or anonymised unless it is still needed for a dispute, legal duty or active service.
Your choices and privacy requests
You may ask for access to, correction of, export of or deletion of your personal information, object to or restrict certain uses, or withdraw consent where consent is the basis used. Some records may need to be retained for contractual or legal reasons. Contact [email protected]. We will verify the requester before releasing or changing protected information.
Service and professional boundaries
Your engagement letter and client setup define the work Nadwise will perform. Nadwise does not provide legal advice. Tax, payroll, statutory filing and local regulatory responsibilities remain with the client and their appropriately qualified local adviser unless those services are expressly included in writing.
